Overall Policy Statement

The sports field was conveyed by Baron Waring to the Dunchurch Sportsfield Charity in 1929 for use by the inhabitants of the village for sporting purposes. With approval from the Charity Commission, in 2002 the Charity was merged with the Village Hall Charity for the purposes of building a village hall & new sports facilities that would benefit a much broader spectrum of the community.

The following sets out the overall policy for the administration of Dunchurch Sportsfield & Village Hall.

- The Trustees (the Committee) shall administrate Dunchurch Sportsfield & Village Hall, Charity No 519906, in accordance with the ‘Scheme’ dated 25th January 2002. Under the Scheme the Committee has the power to:
- Sell, lease or otherwise dispose of any part of the Charity’s property, which is not required for the Object of the Charity
- To acquire or hire property & to maintain and equip it for use
- To insure against public liability, employer’s liability where appropriate & to insure the buildings & contents
- To raise funds
- To cooperate with other charities, voluntary bodies & statutory authorities
- To make rules & regulations consistent with the Scheme for the management of the Charity

- The Object of the Charity and Mission Statement is:
“It is the aim of the Trustees of Dunchurch Sportsfield & Village Hall to provide, manage & maintain in a courteous & professional manner the sports field & village hall for the use of & to meet the needs of the inhabitants of the Parish of Dunchurch & district regardless of political, religious or other opinion”.

- The Trustees Management Committee will meet quarterly. The Committee will consider the financial, hall operations, health, safety & maintenance reports, future capital & funding proposals & address any other issues requiring discussion & /or approval.

- A separate Operations committee, comprising nominated members of the Trustees Management Committee, the bookings secretary & representative(s) of user group(s), will meet as frequently as necessary but not less that four times in a year, for the purposes of managing the day to day running of the village hall & sports field. This committee is only permitted to authorise expenditure up to £250 on a single item without prior approval from the Trustees.

- Roles & Responsibilities for the Trustees & staff employed will be agreed & recorded.

- The rules & regulations for the day to day running of the village hall & sports field will be generally as stated in the hall operations manual.

- The village hall & sports field will be maintained in accordance with the plan set out in the maintenance management manual.

- The policy governing finances will be as stated under DSVH_FinPol_08.

- The policy related to recruitment of new staff & appointment of new Trustees will be as stated DSVH_RecPol_08.

- The policy covering Hire of the hall will be as stated underVH_HirePolicy_07.

- The policy for fund raising will be as given under DSVH_FundingPol_08.

- The policy to health & Safety will be as displayed in the hall.

- The policy relating to child protection will be as stated under DSVH_CPP

The above policies will be reviewed by the Trustees from time to time.
